Secondary Reporting Relationship: VP of Marketing, Communications and Client Services

Primary Accountability

The Coordinator, Client Services supports the Sr. Director of Client Services in managing corporate partnerships for KU Alumni and Jayhawk Corporate Partners. This role focuses on assisting with asset fulfillment, partner communications, and operational tasks to ensure smooth execution and documentation of sponsorship activations. The position contributes to client satisfaction, retention, and the identification of growth opportunities through collaborative support.

Major Duties

Client Stewardship & Fulfillment

  • Assist in servicing and supporting Corporate Partner accounts through relationship building, and the fulfillment of contractual assets and elements.
  • Assist in hosting events for corporate partners and prospects, ensuring seamless coordination, engagement, and alignment with partnership goals.
  • Help coordinate sponsorship activations across events, digital, print, and hospitality platforms.
  • Contribute to the preparation of activation summaries, templates, and performance reports for partners.
  • Support proactive communication with partners to address inquiries, gather feedback, and identify needs.
  • Aid in the execution of functions related to contracting, billing, and expense management.

Revenue Growth & Strategy

  • Help identify incremental revenue opportunities through data collection and analysis.
  • Assist in renewal processes by preparing materials and participating in conversations with partners.
  • Assist in the development of outbound sales materials including presentations.
  • Collaborate with internal teams to support the development of new partnership platforms and engagement strategies.

Internal Collaboration & Support

  • Work with operations, marketing, and event teams to facilitate the execution of partner deliverables.
  • Assist in maintaining internal systems for tracking fulfillment, reporting, and client communications.
  • Support strategic planning efforts for partnership initiatives and new revenue programs.

Qualifications
  • College Degree (prefer degree in marketing, communications, business, or related field) and a minimum of 1-3 years related work experience is required; experience in partnership fulfillment, account coordination, or customer service is preferred.
  • Experience in higher education, sports, or nonprofits is preferred.
  • Strong communication, relationship-building, organizational, and interpersonal skills.
  • Familiarity with CRM and asset management systems.
  • Ability to manage multiple tasks and stakeholders in a team environment.
  • Maturity, cultural awareness, creativity, integrity, and initiative.
  • Knowledge of and competency in a variety of computer software applications in word processing, spreadsheets, database, and presentation software (Canva, DIGIDECK, MS Word, Outlook, Excel, and PowerPoint).
  • Demonstrated written, visual, and oral communication skills.
  • Excellent interpersonal skills, including the ability to communicate and work effectively with team members from all departments, as well as externally with individuals from diverse backgrounds and cultures.
  • Self-motivated and able to work collaboratively to prioritize tasks, accomplish objectives, and meet deadlines.
  • Ability to work in a fast-paced environment with the demonstrated ability to juggle multiple competing tasks and demands.
  • Ability to travel, and to work nights and weekends as required.
Physical/Environmental Demands:
  • Frequent: sitting, hearing, listening, talking (on phone, in person), reading (including computer screens, mail), interaction with staff, alumni, students, University colleagues, vendors, donors, members, and corporate partners;
  • Often: repetitive hand motion (such as typing or picking), walking;
  • Occasional: work outside normal business hours including nights and weekends; travel by car or plane to offsite meetings and events, ability to lift or have the ability to utilize reasonable available resources to maneuver up to fifty (50) pounds, and exposure to noise and temperature variances at both indoor and outdoor events.
